How Fabletics’ journey to confident, efficient travel with TravelPerk saves them 60 hours annually

Founded in Los Angeles in 2012, Fabletics has quickly grown to be one of the most recognized names in lifestyle and activewear. With a diverse portfolio including JustFab and Savage X Fenty, the company operates 14 offices across Europe—in Berlin, Barcelona, and London—and has over 2,000 dedicated employees and more than 100 stores worldwide.
For Fabletics, travel is more than logistics—it’s how they strengthen vendor and partner relationships, foster cross-border collaboration, and run their company offsites. To keep up with their fast-moving global operations, Fabletics needed a new travel management platform built to scale with them.

Fragmented systems, no visibility, and frustrated teams

Before switching to TravelPerk, Fabletics’ travel management processes were fragmented and heavily manual. Employees booked travel individually, often through different platforms and often skipping approval processes, too.
“People were booking travel however they liked,” said Sören Heise, VP of Financial Planning for Europe. “Some asked for approval, some didn’t. There was no structure at all.”
The finance team was overwhelmed by last-minute changes, ad hoc requests, and the fallout from cancellations, postponements, and refunds. And because not everyone followed the approval process, getting an accurate view of travel spend meant piecing together estimates from emails and regional teams.
“It was a lot of manual work. People booked flights and hotels separately, then turned to the finance team to sort it out. There was no visibility, no consistency, and no way to scale it.”

From chaos to control and consistency

Fabletics’ rollout of TravelPerk began in Spain, when the local accounting team set up an account, added the corporate card, and started using the platform independently. Once Sören was introduced to TravelPerk, he tested it as an approver and immediately recognized the platform’s value.

From there, he worked with TravelPerk’s account managers to launch a dedicated account for Fabletics’ Berlin headquarters. The setup was fast and straightforward, and today, 116 employees across Europe use the platform to manage their travel arrangements, representing a 99% adoption rate. 
“It was easy to scale. With the help of TravelPerk's implementation team, the setup was fast, and our account manager made it seamless,” Sören said. “Even integrations were straightforward. TravelPerk connects with our single sign-on, so when someone joins, they’re instantly onboarded. When they leave, access is removed.”

From manual to manageable with automation

TravelPerk has helped Sören and his team reclaim valuable time by eliminating hours of manual admin; from chasing approvals to handling last-minute travel changes.
Where Sören once spent hours pulling fragmented reports and tracking expenses across multiple brands and countries, he now has a centralized, real-time view of travel across the organization.
“I save about 60 hours a year,” he explained. “That’s more than a full working week back. And that’s just me—not even counting the time we’ve saved across the wider team.”
Over a 12 month period, Fabletics also achieved €31,800 in quantifiable savings, including:
  • €12,937 in total policy savings by driving in-policy bookings across hotels, trains, and cars.
  • €8,672 in flight policy savings thanks to smart flight policy enforcement.
  • €2,551 in finance team time savings through simplified reconciliation and reporting.
  • €1,701 saved through intuitive, self-serve workflows.
  • €1,984 in post-booking support savings, from faster, more efficient handling of changes and cancellations.
Daily travel management has also become faster and more intuitive, with automated approvals, smart policies, and no more back-and-forth.
“When a flight comes through for approval, I can immediately see the booking class,” Sören explained. “Because I also manage headcount planning, I know exactly who’s eligible for what. It’s clear, consistent, and—most importantly—fair.”
The team also leverages dynamic approval flows based on job title, ensuring the right people are looped in at the right time, without delays.
“It’s not just about visibility—it’s about being able to act on it. If one entity is spending double on flights compared to another, I can see that immediately and investigate.”

Smarter travel decisions—thanks to smarter reporting

Before TravelPerk, Fabletics relied on estimates. Now, decisions are backed by data. With advanced reporting and detailed spend breakdowns by region, brand, and entity, TravelPerk has changed how Sören approaches forecasting and budgeting.
The reporting functionality is particularly valuable for cross-checking year-to-date spending and estimating future travel costs for monthly reforecasting. It provides a clear, reliable view of logistics and accommodation spend—insights Sören previously had to piece together manually.
“Every month, I do reforecasting for our CFO,” he said. “TravelPerk gives me a clear view of what we’ve spent year-to-date and what we’re likely to spend over the rest of the year. It’s accurate, detailed, and easy to adjust.”
He can also compare average flight costs across different entities, identify unusual spending patterns, and dig into the reasons behind them.
“If one entity is spending twice as much as another, I can investigate. Are they flying business class more? Are the destinations different? That kind of insight helps us optimize.”

“People really value this,” said Sören. “They can collect miles automatically without having to enter their details every time.”
TravelPerk also makes hotel booking more personal and trustworthy. Instead of sorting through anonymous online reviews, employees can see which hotels their colleagues have previously stayed at—and how satisfied they were with their experience.
